9 reasons your practice needs a policy & procedure manual

At a minimum, all allied health practices employing staff should have a Policies & Procedures Manual, however every practice can benefit from this business tool - you don't have to be a large public or private company.

First, let's quickly revisit the definition and purpose of policies and procedures:

Policy  Procedure 

A policy is a statement that clearly outlines your position on  a particular area. Policies provide a framework for your practice and the people that work in it. An example of a policy in your practice could be Company Vehicle Use.

A procedure outlines how something is done in a step by step manner. An example of a procedure in your practice could be a Vehicle Safety Checklist that staff complete before departing the carpark.


There are many reasons to have a manual in your practice, including:

  1. It supports your practice's compliance with relevant legislation (e.g. Fair Work Act, WHS)
  2. Provides consistency and accountability
  3. Can form an integral part of your contingency management planning and risk mitigation strategy (e.g. what to do if computers are down)
  4. Increases workplace efficiency through clear roles, responsibilities and guidelines (e.g. personal devices)
  5. Can positively underpin your brand
  6. Can add monetary value to your business
  7. People in the practice don’t have to keep discussing the same issues every time they arise
  8. To provide a set of procedures for managing incidents
  9. To create a supportive environment

 

But how to start?

When you thinking about starting to write your policies and procedures, it's a really good idea to think about what things make up the "backbone" of your service or practice – do you have a plan of how you’re going to ensure that the objectives of your practice actually occur? How do you go about delivering and managing your service?

There are some areas of policies and procedures that are common for all allied health private practitioners including:

  • Confidentiality - both of client and staff information
  • Work Health and Safety
  • How to manage performance
  • How do staff request leave? (if you have staff)
  • Home Visit Policy (if you do home visits)

Grab a pen and paper and start jotting down some areas in your practice or service that needs a policy or procedure.
