Spring clean your practice!

Spring is just around the corner, and today I would like to share 12 tips to spring clean your practice! Don’t worry - you can put the rubber gloves away as we are focusing on freshening up the business side of your practice! You can also download our handy checklist to get ready for your spring clean.

Here are 12 ways you can freshen up your allied health practice or service:

1. Clean out your office admin cupboards. Things can build up and become disorganised, or lost. You may find yourself replacing items that you already have, but just cannot find. This could be in your practice rooms, or a cupboard at home if you work from there.

2. Review your client handouts. Check for spelling errors you might have missed, if using images from other sources, ensure they are referenced and clear to see, check font size and importantly check the content is still accurate and says what you need it to say. Are there words that your target audience will not understand, e.g. “conservative management versus surgical management” - will they know what that means? 3. Computer files - are there ones that you just do not need anymore, old word documents that serve no purpose now? Either archive the files if the thought of getting rid of them frightens you, or delete them if they are no longer needed.

4. Accounting/books - ensure all your transactions are in the right place, and coded accurately. How are you storing your receipts...can this be electronic? If you have electronic copies, check with accountant if you need to keep the original paper ones – this can save you lots of space if you don't need them.

5. Privacy audit - this is a great time to look at your privacy - are you really protecting client information? Does your consent form need a work over? Do your staff need training on the small ways that privacy can be breached in the workplace? If you are not sure where to start, we have a great Privacy Audit available here.

6. Email inbox - things build up. If you don't need it, delete it, or archive it to a folder so you have a clean inbox. If tasks need attention you could email them to a trello account so they become a to-do list rather than sitting in your email inbox. If you want to keep them in the email inbox, set up some quick steps so they file automatically or use the 'category' tab to organise them into a more logical list.

7. Branding - review your email signature, your website and your online presence - can you refresh anything, or are you happy with the way things are looking? Do they reflect the personality of your practice?

8. Review your prices. Are you breaking even? Do you need to put your prices up? When did you last do that?

9. Check in on the KPI’s you are measuring - or the things you can measure about your practice success - what are they? Are you measuring too many things? Are you not getting time to look at them? Are you not collecting enough stats to really know your strengths?

10. The storeroom - this can get messy quickly! It is always good to spend some time sorting through your storeroom or the place you keep your therapy equipment/tools. Do things need wiping down, replacing, fixing, tidying, or adding to your list of inventory?

11. The toy basket - discarding books that are very old, cleaning toys, removing any with broken parts that may fall off and become a choke hazard, refilling with new toys if you have the same children coming back frequently.

12. The waiting room – does this need refreshing? Are your chairs looking immaculate? The magazines up to date and clean?
